What information are we collecting?

When you book to join our projects or programmes we will ask for the following details:

  • Name
  • Phone Number
  • Address including postcode
  • Any access requirements
  • Demographic information

 When you book onto any of our online or in house sessions:

 When you opt in to receiving marketing or sign up to our mailing list we will ask for the following details:

 When you become a Friend of LEVEL or donate money to LEVEL:

  • (we may take your card details if you wish to pay this way)

When you are contracted by LEVEL Centre to deliver a performance, exhibition or workshop we will ask for the following details:

  • Name
  • Email Address
  • Phone Number
  • Invoice address

When you visit our website we collect the following generic information:

  • IP addresses
  • Geographical location
  • Browser type
  • Referral source
  • Length of visit
  • Number of page views

 Why are we collecting your data and how will we use it?

When you book to join our projects or programmes, we may use your information to contact you about your booking i.e. if the booking has been cancelled or give any further information about the booking which may affect your visit. We may also use your demographic information including your postcode to carry out reports.

When you book onto any of our online or in-house sessions, we may use your information to contact you about the sessions i.e. zoom details, equipment lists, if the session has been cancelled. We will also use your address in order to send any equipment needed for your session that we deem appropriate – this may come from external, third-party suppliers.

When you opt into receiving marketing we may use your information to contact you about future events, workshops and exhibitions through our e-newsletters. We may also contact you about becoming a donor on our Friends scheme.

When you become a Friend of LEVEL we may use your information to send you your Friends Welcome Pack, bi-annual newsletter, we may also use your information including your postcode to carry out reports. When you donate money to LEVEL we may retain your address for Gift Aid purposes (if you opt-in) or to send you an e-receipt for your payment (if requested). We may also ask you at this time if you wish to be added to our marketing mailing list – this is optional.

Friends data is deleted 12 months after membership lapses for any reason and this will be indicated on our renewal reminder communication. Friends are always able to request to have their data deleted earlier or retained longer.

When you are contracted by LEVEL Centre to deliver a performance, exhibition or workshop we may use your information to contact you about your contract.

When you visit our website we may use your information for a number of purposes such as optimising the use of the Site, disclosing to third party contributors, or for security purposes. We may use an analytics service provider for website traffic analysis and reporting and to track your movements around our website. Individual users will not be identifiable from this information.

 

How do we store your data and how long do we keep it for?

 

We understand that we are fully responsible for data inputted and captured by LEVEL Centre through all of our channels. This includes any other systems we use such as Simply Book or Mailchimp.

We store your personal information indefinitely such that for any subsequent bookings you make we are able to link them back to a single unique record that we hold for you on our system.

When you visit our website your information is stored on an analytics service provider indefinitely. Individual users will not be identifiable from this information.

 Do we share your data with anyone else? 

LEVEL is a publicly funded organisation in receipt of public funding, grants and support from other organisations. Occasionally we may use data collected about our audiences to inform and report to our funders, visiting artists or companies, in line with contractual agreements. When we do this we will only ever supply postcodes. Other than what is expressly set out in this Privacy Policy, LEVEL will never share, sell or distribute any of the information provided by you, the user, without your consent.

We may share your address with third-party suppliers in order to fulfil delivery of online sessions in regards to equipment for said session.

We may share postcodes with third-party companies that present work at LEVEL Centre that need to report on audience demographics.

Your invoice and contact information may be shared with the LEVEL Centres Accounts team who will process your invoice and may contact you.

What are your rights?

  • You have the right to withdraw, meaning you can opt-out of receiving information from us at any time.
  • You have the right to be informed about our purposes for processing your personal data, our retention periods for that personal data, and who it will be shared with. 
  • You have the right of access which means you are able to obtain a copy of the personal data we have for you, as well as any other supplementary information.
  • You have the right to have your personal data rectified if it is inaccurate or incomplete. You can make a request for rectification verbally or in writing and we must respond within one calendar month. 
  • You have the right for your data to be deleted at any time. You can make a request for erasure verbally or in writing and we must respond within one calendar month.
  • You have the right to restrict the processing of your personal data – this means that you are entitled to limit the way we use your data. This is an alternative to requesting the erasure of data.
  • You have the right to data portability which allows you to obtain and reuse your personal data for your own purposes across different services.
  • You have the right to object to your data being processed at any time.
